Panoptes

Financial ops for founders who run more than one company

Your books, with a hundred eyes on them.

Panoptes reads every movement on your business bank accounts, files it, goes and finds the receipt behind it, and turns the lot into VAT returns, a 13‑week cash flow and a CFO pack your accountant can sign off. One company or five, one login.

The gap

The bank knows what you paid. Nobody knows why, and nobody has the receipt.

Spreadsheets rot.

The export was true on the day you made it. By the time the accountant opens it, two pockets, one new card and forty transactions have moved on.

Accounting software waits for you.

It is a very good place to type things. Panoptes reads the bank itself, every 20 minutes, and comes to you only with what it could not settle.

Receipts live in six inboxes.

Panoptes keeps one queue of what is still owed, searches your mail for it every Monday, and tells you the number that is left.

What it does

From bank line to signed‑off pack, without retyping a thing.

Panoptes is a core plus five modules. Start with the core and add a module the day you need it; each one is priced below.

Core · Bank feeds

Every movement, every pocket, every currency.

Revolut Business, Bank of Cyprus and 2,500+ banks across the EU and UK through a licensed PSD2 provider. Card holds are filed, not queued; foreign currency is carried in EUR base so totals always add up.

  • History imported from CSV or OFX, cut at the live date so nothing counts twice
  • Transfers between your own accounts are paired, never assumed
Core · Filing

AI suggests. Your rules win. Your decisions stick.

Each new row gets a category with a reason. A rule you write beats the AI; a decision you make is never overwritten by either. A third party on the other side is never filed as a transfer.

  • A €0 row never reaches the review deck
  • Refunds reduce spend instead of inflating it
Module · Proof

A receipt for every payment, or a number telling you how many are missing.

Snap it, forward it, or let the inbox poller find it. OCR reads vendor, total and date; the matcher attaches on evidence, never on a coincidence of amount and date. "Missing proof" has exactly one definition on every screen.

  • Meta, Amazon, Anthropic and other portal‑only invoices are imported in bulk
  • A short attachment is still owed. A contract is never proof of a payment.
Module · Sales & VAT

Invoices matched to the money. VAT in the right quarter.

Sales invoices come in read‑only from Zoho Invoice and are matched to bank credits in three tiers; only a human confirms an amount‑only match. The VAT report puts input VAT in the period of the tax invoice, self‑assesses reverse‑charge services on both sides, and exports a CSV your accountant can file from.

Modules · Cash flow · CFO pack

Committed cash first, guesses last, assumptions printed.

Unpaid invoices, supplier bills, loan instalments and the next VAT return are dated lines. Recurring patterns come next. Only the residue is run‑rate, and every assumption it rests on is listed under the chart.

  • Comparison to last period and last year, receivables ageing and DSO
  • Runway from the last three full months, contribution per company, commitments
  • Intercompany position: what one company paid for the other
committedexpectedrun‑rate
Module · Group

The entity sits on the row, not on the account.

A course fee paid into the wrong company's account is re‑filed with one tap. A shared bill is split across companies to the cent. Rent and payroll are allocated by rule, recorded, and reversible.

Core · Roles & privacy

The bookkeeper sees the work. The owner sees the wealth.

A restricted seat opens exactly the screens the job needs: the review deck, the VAT report, the proof packets. Sensitive categories such as salaries can be hidden per person; totals can be hidden too. Every write that moves money or policy leaves an audit row.

House rules

Written into the code, not the FAQ.

Every one of these was learned the hard way in real books. Each is a test in the codebase, and a release that breaks it does not ship.

  1. A contract, lease or quote is never proof of a payment.Only a receipt or an invoice for that payment settles a row. The lease was once attached to every rent line; the landlord's monthly receipt is what the row owes.
  2. A transfer is paired, never assumed.Marking both legs "transfer" hides them from the P&L, which is only right if both legs exist. An orphan leg is real money leaving the business, and it stays visible until its partner turns up.
  3. A document attaches on evidence, never on coincidence.Amount and date alone once made a €10.85 software receipt the proof of an €11.00 car wash. Now the vendor, the sender or the subject has to name the counterparty.
  4. A tie is never guessed. Two candidates of the same size on the same day go to a person, with the reason written next to them. Silence is not a decision.
  5. A human decision is never overwritten by the machine.A rule or a re‑run of the AI cannot move a row you filed by hand. Disagreement is recorded in the audit log, not applied.
  6. Every movement on an account is reachable.Tax, dividends and paired transfers sit outside the KPIs, but one switch lists them, so nothing on a statement is ever un‑attachable or un‑commentable.
  7. Read‑only at the bank. Panoptes cannot move a cent. The PSD2 connection is an account‑information licence. There is no payment initiation anywhere in the product, and there will not be.

How it works

Ten minutes to connect. Then it reads, and you review.

Day one · 10 min

Connect your banks

Authorise each account through the PSD2 provider's own consent screen. Drop in a CSV or OFX export and the history lands behind the live feed, cut at the right date.

Every 20 minutes

Panoptes reads

New movements are pulled, filed by rule or AI, transfers paired, reversals linked, card holds filed. The inbox poller reads forwarded receipts and attaches what it can prove.

You · a few minutes a week

Review what is left

A deck of suggestions on your phone: accept, change, or skip for later. Snap a receipt at the till. Your answers become rules, so the deck gets shorter.

Quarter end

Hand over the pack

The accountant's seat opens the VAT report, a proof packet per account and period, and the CFO pack. Nothing to export from three places and reconcile in a fourth.

Who it is for

Three people, one set of books, each seeing exactly their part.

Owner seat

The founder

  • Home screen with every balance, this month's movement and what needs you
  • 13‑week cash flow and runway you can trust because its assumptions are printed
  • Net worth across companies, loans and holdings, private to you
  • Face ID unlock on the phone, capture receipts at the till
Restricted seat

The bookkeeper

  • The review deck and the invoice inbox, scoped to the accounts you grant
  • Salaries and other sensitive rows hidden, totals hidden if you choose
  • Comments on any row, with the owner, without changing the books
  • A Monday digest of missing proofs and unmatched invoices
Accountant seat · included

The accountant

  • VAT return per calendar quarter with the CSV behind every box
  • One PDF proof packet per account and period, byte‑identical every time it is generated
  • The CFO pack: comparison, receivables, contribution, commitments, intercompany
  • Read‑only, and every question answerable from the audit log

Built the careful way

It holds real bank data, so it is built like it does.

Account‑information licence only

Bank access through a licensed PSD2 provider. Read‑only by construction; there is no payment initiation in the product.

A polling budget, enforced

Unattended bank access is rationed per account and tested in the codebase, so your bank never sees Panoptes as noisy.

Private by default

Hosted in the EU. Your workspace is reachable only over a private network link, not from the open internet.

Passkeys, not passwords

Face ID and Touch ID sign‑in on every device you register. Password login stays as the fallback.

Every upload scanned

Receipts and invoices pass an antivirus scan before they are stored. Documents are served to be looked at, never executed.

Every write audited

Categories, rules, budgets, proofs, allocations, logins. Who, what, when, and what it replaced.

Your data is yours

Transactions, proofs and reports export at any time. Cancel and take the lot with you.

Made in Cyprus, for EU books

Calendar VAT quarters, Cyprus deadlines, reverse charge, multi‑currency in EUR base. The local day is the local day.

Pricing

A core and five modules. Pay per company, for the modules you switch on.

Every seat is included: owner, bookkeeper, accountant. Add or drop a module any month; the change is pro‑rated.

Practice

Accounting firms running Panoptes for their clients: many client workspaces under one firm login, proof packets and VAT returns across every client, onboarding done with you, a named engineer.

Book a call

Launch pricing. Bank connections and every seat are included. Usage above the allowance is billed monthly in arrears, never in advance. No card needed for the trial.

Questions

Things people ask before connecting a bank.

Which banks can I connect?

Any bank the PSD2 provider covers: 2,500+ across the EU and UK, including Revolut Business and Bank of Cyprus, which the product was built on. If your bank is not covered you can still import statements as CSV or OFX.

Can Panoptes move money?

No. The bank connection is account‑information only. There is no payment initiation anywhere in the product, and the read‑only rule is listed under House rules because it is not going to change.

Does it replace my accountant or my accounting software?

Neither. It replaces the part where you export statements, hunt for receipts and answer the same questions every quarter. Your accountant gets a free seat with the VAT report, the proof packets and the CFO pack, and files from there.

What happens to the AI's mistakes?

Every suggestion carries its reason and lands in a review deck. Anything you correct becomes a rule if you want it to, and a decision you make by hand is never overwritten by the machine again.

I have two companies that share an office and a card. Can it cope?

That is the case it was built for. The company sits on the row, not on the account: one payment can be split across companies to the cent, rent and payroll can be allocated by rule, and the intercompany position is a line on the CFO pack.

Can I start with the core and add modules later?

Yes. The core alone reads your banks, files every row and gives your accountant a seat. Switch a module on the month you need it (Proof before the first quarter end, Cash flow when a big invoice is late) and it is pro‑rated. With all five on, the bundle price applies by itself.

What happens when I go over the allowance?

Nothing stops. Each company includes 4 bank accounts, 500 transactions and, with Proof, 200 documents a month; the allowances of all your companies pool together. Above that you pay €5 per extra account, €0.05 per transaction and €0.10 per document, counted at month end and billed in arrears, so you only ever pay for what actually happened. Most companies never leave the allowance.

Where is my data and can I take it out?

Hosted in the EU on a private network link. Transactions, attached documents and every report export at any time, and cancelling gives you the lot.
